Terms and Conditions

 

By paying the deposit, you are agreeing to these terms and conditions.

Wedding Venue Hire – Terms & Conditions

  • Introduction

These Terms & Conditions apply to all wedding ceremonies, civil partnerships and receptions, which will be referred to as Conscious Celebrations, held at 42 Acres (“we,” “us,” “our”). By making a booking, you (“you,” “your,” “client,” “guests”) agree to these terms.

  • Booking & Payments

To make a booking, please contact our sales team for a quote. Quotes are valid for 31 days, after which they may be revised. 42 Acres reserve the right to review and amend our prices.

Once your date(s), event details and estimated guest numbers are agreed, a 25% non-refundable, non-transferable deposit is required within 7 days of the deposit invoice to secure your booking.

42 Acres will hold your preferred dates for 7 days. If the deposit is not received by day 8, the space will automatically be released.

Payment of the deposit confirms your commitment to the full hire fee. The remaining balance is due 6 months prior to arrival, along with a separate £500 refundable damage/security deposit, which will be returned no later than 10 working days after the event (subject to any necessary deductions). The remaining balance can be split into two payments, providing the full payment is received 6 months prior to your arrival. 

Bookings remain provisional until the deposit is received. Late payments may result in additional fees or cancellation.

 

As standard we quote for 4 planning calls at a duration of one hour each as well as one site visit. If planning calls with the bookings team exceed four hours in total, additional charges may apply. 

  • Cancellation and Refund Policy  

3.1 Cancellation By You

All cancellations must be made in writing.

If you cancel your booking:

  • The 25% deposit is non-refundable and will be retained.
  • If you cancel less than 6 months before the date of your event, 100% of the full fee will be payable.
  • No refunds or reductions will be given for accommodation, catering, or services that have been paid for but not used.

Bookings cannot be transferred to alternative dates once the deposit has been paid. Any request to change the date will be treated as a cancellation.

3.2 Cancellation By Us

42 Acres reserves the right to cancel a booking. In the unlikely event this happens, we will notify you as soon as possible and explain the available options.

Our liability will be limited to the amount paid to us at the time of cancellation. We cannot accept responsibility for costs relating to external suppliers, and we strongly recommend arranging appropriate wedding insurance.

Failure to meet the payment terms outlined in your invoice may result in automatic cancellation. If you are experiencing difficulties meeting payment deadlines, please contact us as soon as possible.

  • Catering

Food is a meaningful part of the experience we create at 42 Acres. Our wedding packages include full catering by our talented in-house chefs, who thoughtfully design and curate each menu to reflect our seasonal approach and food philosophy

As catering is an integral part of the 42 Acres experience, we are generally unable to accommodate external caterers. However, additional food vendors may be considered where they complement the meals provided by our team and align with our values and aesthetic. For example, you may wish to arrange a pizza van for the evening celebration. 

A minimum of 30 paid guests applies to all catered events. This minimum charge applies regardless of final attendance numbers.

Final guest numbers, menu selections and full allergen information must be confirmed 8 weeks prior to arrival.

Please note that our kitchens handle nuts and products containing nut traces. We cannot accept responsibility for allergic reactions resulting from nut exposure. Guests with severe allergies must bring their own EpiPen.

  • Drinks & Alcohol

We provide infused flavoured water made with seasonal herbs from the land. For an additional fee we can supply cordial, tonics, kombucha, wild mocktails, and teas. If you would like to offer additional soft drinks, these must be pre-ordered through our preferred suppliers. We are unable to accept drinks sourced elsewhere.

We are not licensed to sell or supply alcohol, and our staff cannot serve alcohol or operate bars. If you choose to mindfully include alcohol at your event, you are responsible for pre-ordering drinks from our preferred suppliers and providing it to your guests. Guests may not bring their own alcohol onto the site.

Deliveries of soft drinks or alcohol cannot be accepted more than 72 hours prior to your wedding date. You are responsible for unpacking deliveries. We cannot take responsibility for lost or damaged items.

If alcohol is served, you must ensure that:

  • Alcohol is not sold (including via tickets or suggested donations).
  • The event is private and by invitation only.
  • Any hired staff serving alcohol holds a valid Temporary Event Notice (TEN), arranged by you or a third party. All external suppliers must be agreed with us in writing in advance.
  • No alcohol is consumed by anyone under 18.
  • Alcohol is consumed only within the designated ceremony and reception areas (Forest Glade, Hermitage Dining Room/ Group Room/ Snug, Hermitage Stretch Tent, or Mandala Barn). Alcohol must not be taken outside these areas, into bedrooms or into the Mongolian  Yurt.
  • All empty bottles are disposed of in the designated recycling bins provided by us within the designated areas. Bottles found elsewhere on the land, in cottages, or in bedrooms may incur an additional disposal fee.

A corkage fee of £500 per night applies to cover glassware use and waste disposal.

  • Accommodation

6.1 Rooms and occupancy

We have 30 bedrooms available, plus 6 furnished bell tents during the warmer months (May – September). To ensure exclusive hire, all rooms must be booked.

Maximum occupancy is 2 adults per room, except for rooms with a sofa bed, which can accommodate up to 3 adults or 2 adults and one child.

A Z-bed (for guests aged 16 and under) can be added to certain rooms by prior arrangement at £30 per bed. All additional beds must be arranged through 42 Acres, guests may not bring their own unless this is a travel cot for those under the age of 2.

If additional guests are found to have stayed in a room without prior agreement, the appropriate charges will be applied after the event.

We also have two travel cots and two high chairs available to hire on request.

6.2 Accommodation payment options 

There are two ways to arrange payment for accommodation:

Option 1:

All rooms are included in your initial quote and paid for by you. Payment is due 6 months prior to arrival, in line with your main booking terms.

Option 2:

Rooms are booked and paid for individually by your guests. Full payment is taken at the time of booking. All guest bookings must be completed 8 weeks prior to your wedding date. Any rooms not booked or paid for by this deadline will be invoiced to you directly.

If you choose Option 2, you are responsible for covering the cost of any unpaid rooms.

All accommodation bookings are non-refundable. However, the original payee may transfer or resell their room if they can no longer attend, provided the new guest’s details are supplied to us in writing.

6.3 Care of our accommodation 

We kindly ask that you and your guests take good care of the accommodation and leave it clean and tidy.

  • Please remove shoes before entering all buildings, including ceremony spaces (unless agreed in writing in advance).
  • Smoking and e-cigarettes are not permitted in any building. Additional cleaning costs will be charged if this policy is breached.
  • Our properties are pet-free, except for assistance or guide dogs (advance written notice required).
  • Please use the bins provided, recycle where possible, and switch off lights when not in use.

For everyone’s safety and comfort, please do not:

  • Bring food or drinks (other than water) into bedrooms. Food and drink should be consumed in designated kitchen/dining areas.
  • Bring hazardous materials or equipment onto the estate.
  • Tamper with fire alarms or emergency equipment.
  • Store items that may cause damage or pose a health and safety risk.
  • Remove, damage or destroy property.
  • Use our Wi-Fi or technology to access unlawful material.
  • Cause unreasonable disturbance to other guests or staff.

Children under 16 must be accompanied by a parent or guardian who is also staying on site.

We reserve the right to change room allocations during your stay if necessary.

6.4 Fires/ candles 

Some of our properties have open fireplaces or wood burners. You’re welcome to use them, but please only burn the wood and firelighters we provide.

Do not overfill fireplaces, add other materials, or leave fires unattended. Children must be supervised at all times around open fires. Any damage caused through misuse or negligence will be charged accordingly.

For safety reasons, candles are not permitted inside any of our accommodation.

6.5 Building Access

We may occasionally need access to buildings during your stay to carry out essential repairs, maintenance or inspections. Wherever possible, we will provide prior notice and will always respect your privacy.

6.6 Check in and check out 

Guest rooms will be available from 4pm on the day of your arrival.

Check-out of bedrooms is by 10am on the day of departure.  Please be aware that our House Team will be cleaning bedrooms from 10am on your day of departure. 

You and your guests must depart by 12 noon the day after your event unless additional time or nights have been arranged in advance.

Late check-out may be agreed beforehand, subject to availability. If rooms are not vacated by the agreed time, an additional night’s accommodation will be charged at the standard rate.

A £30 fee applies for any lost or unreturned room keys.

  • You and Your Guests’ Responsibilities

42 Acres is a nature reserve and wellbeing estate. Our vision is to live in harmony with nature, self, and others. We ask that all guests treat the land, buildings, and each other with respect and thoughtfulness.

All guests must follow our rules and guidance. Disruptive or unsafe behavior may result in expulsion without a refund, and we reserve the right to refuse entry to anyone deemed unsafe or inappropriate.

7.1 Allergens and Health and Safety

Please supply all allergen and dietary requirements on confirmation of final numbers at least 8 weeks before your wedding date, we will be unable to supply alternatives. 

7.2 Wild Swimming & Sauna

Lake swimming is entirely at your own risk. There are no lifeguards. Guests must follow the guidance provided, swim with a buddy, and only enter and exit from the jetty. A life buoy is available at the jetty. Do not swim  outside daylight hours.

Sauna use must follow the provided guidance. Use with a buddy only, with a maximum of 8 people at a time.  Guests aged 16 or under are not permitted to use the sauna.

7.3 Animals  

Only assistance dogs trained by ADUK-member organizations are permitted. You and your guests are responsible for complying with all relevant laws and guidelines regarding assistance dogs. Please notify us in writing in advance if an assistance dog will be present, and inform your guests to ensure everyone’s safety and comfort.

7.4 Damages

Please notify us immediately of any damage found on arrival to accommodation, ceremony spaces, or the grounds. You are responsible for the reasonable cost of repair, replacement, or extraordinary cleaning caused by your group. Any charges will be invoiced after the event, with the damage/security deposit deducted where applicable.

7.5 Smoking

In accordance with legislation no smoking is permitted in any of our buildings. This includes e-cigarettes.

7.6 Children 

Children are welcome at 42 Acres.  Children’s safety and welfare remain the responsibility of their parent/guardian at all times. Children must remain within designated ceremony areas and be supervised at all times. Please note that open water on the estate is unfenced and unsupervised.

  • Hire details 

8.1 Access 

Our Conscious Celebration packages require a two-night minimum stay, with your ceremony taking place on the second day. You will have access to our grounds and ceremony spaces from 3pm on day 1 of your booking for setting up and preparation.

If you would like additional time onsite, accommodation can also be booked for the night before your package begins (subject to availability),

Access is only permitted during the agreed Hire Period, and all setup and breakdown must occur within this time. Early access or late departure may incur additional charges.

8.2 Decorations & Styling

Tables, chairs, crockery, and glassware may carry an additional charge depending on the size of your event. Table and room decorations are to be supplied by you, and should be made from sustainable/ natural materials (e.g., paper or cotton); single-use plastic is not permitted.

  • Flowers can either be sourced from our gardens or ordered from our approved supplier lists, chosen for quality and alignment with our seasonal, local philosophy.
  • No fixings, nails, screws, adhesives, or alterations may be made to walls, as our natural paint can be easily damaged. Any damage caused by attaching decorations will be charged.
  • Confetti (except natural petals), smoke machines, and naked flames are prohibited.

42 Acres is not responsible for external property, products, or equipment hired in. You acknowledge that you are fully responsible for any hired items and should have appropriate insurance against fire, theft, or damage.

  1. Suppliers

All suppliers must be from our approved supplier list. Unless, agreed in writing in advance. Activities must be provided by a company with relevant insurance and supervised at all times.

Suppliers must hold public liability insurance and comply with health and safety regulations. We are not responsible for the performance or conduct of third-party suppliers.

8.4 Capacity

  • Overnight guests: Maximum of 57 (double occupancy) or 69 if the 6 furnished bell tents are included. Residential guest numbers must not exceed this maximum.
  • Weekend weddings (1 April – 31 October): Minimum of 50 guests required. Weekday weddings minimum of 30 guests required.
  • Seating: Up to 100 guests can be accommodated in the Hermitage Lawn Stretch Tent (May–September). Up to 30 guests can be seated in the Hermitage Dining Room, 50 guests can be seated outside in our Courtyard and 30 in our Forest Glade if opting for a fire cook seated feast or up to 90 for an informal non-seated fire cook. 

These limits comply with health and safety regulations. No additional guests are permitted beyond capacity, and we reserve the right to limit access if limits are exceeded.

Guests not staying onsite must arrange taxis or shuttle transport in advance, as rural transport options are limited. Pre-booking is essential to ensure all guests can leave by closing time.

8.5 Photography

You shall ensure that all photographers, videographers, and content creators engaged for the Event comply with 42 Acres policies and all reasonable instructions issued by staff. 

Photography and videography equipment must not obstruct walkways, fire exits, escape routes, or access to emergency equipment. 42 Acres reserves the right to require equipment to be relocated where it presents a safety risk. 

Photographers and videographers may only access areas authorised and must not enter staff-only, plant, maintenance, kitchen, or other restricted areas. 

The use of drones or unmanned aerial vehicles is prohibited unless prior written approval has been obtained from 42 Acres. Any approved drone operator must hold all licences, permissions, and insurance required by law and provide evidence upon request. 

You shall be responsible for any loss or damage caused to fixtures, fittings, grounds, or property by photographers, videographers, or their equipment. 

The use of temporary lighting structures, generators or other specialist equipment requires prior written consent.  Smoke effects and pyrotechnics are not permitted.

Any commercial photography, filming, advertising, promotional activity, styled shoot, or publication undertaken for commercial gain requires the prior written consent. 

Photographers and videographers must respect the privacy of other guests, residents and neighbours, 

8.6 Car parking

We have sufficient parking for 60 cars: 40 in the Farmhouse car park and 20 in the Hermitage car park. Guests may use any vacant spaces on a first-come, first-served basis. Parking is free, but please do not park on the grass, any damage to lawns or flower borders will be charged to you.

 

We accept no responsibility for theft or damage to vehicles parked on the property, except where caused by 42 Acres staff or contractors.

8.7 Music & entertainment

While 42 Acres is set within 173 acres, we do have neighbours. Please note the following:

  • Amplified music is only permitted inside Mandala Barn or the Marquee and must not exceed 85dB. Suppliers must be made aware of this limit.
  • Background or acoustic music is allowed outdoors until 11pm latest. 
  • Indoor music must finish by midnight. Non-staying guests must leave the venue 12:30am at the very latest
  • A £500 surcharge per half-hour applies if music continues or guests remain on site beyond these times.
  • All live bands and DJs must be approved in advance and carry public liability insurance.

8.8 Fires

We have three designated fire pits that can be booked in advance for fire ceremonies. Fires may not be lit anywhere else on the estate. Our team will prepare the fire using wood sourced from 42 Acres. Do not start your own fires, bring additional wood, or add anything other than the provided wood.

Real candles are allowed during the reception if enclosed in lanterns, tall glass holders or hurricane vases. They are only permitted in the ceremony space e.g. Forest Glade, Stretch Tent, Mandala or Hermitage dining room and must not be left unattended. Naked flames are not permitted.

Candles are not allowed in cottages or bedrooms, and can not be placed on the signing table (registrar regulations).

Chinese lanterns, sparklers, and fireworks are prohibited to protect wildlife and prevent fire risks.

  • Lost Property

We are unable to post lost items to guests. Found property will be kept for 3 months, during which guests can arrange a collection. After this period, unclaimed items will be donated to charity.

  • Health & Safety

All guests, contractors and suppliers must comply with 42 acres health & safety policies and guidelines and any instructions given by the staff of 42 acres.

  • Liability

11.1 Company Liability

We accept responsibility for the conditions that are within our control but cannot accept liability for any injury, illness, loss or damage suffered by you or any members of your group, unless one of the following applies. There was a breach of duty or misconduct by us or our employees.

42 Acres accepts no responsibility for loss, theft, or damage to personal property.

  1. Force Majeure

We are not liable for cancellations or changes due to events beyond our control (e.g., natural disasters, strikes, pandemics).

  1. Public Liability Insurance

Please make sure you have your own public liability insurance in place. This should cover injury or property damage caused by you or your guests (e.g. someone trips over your décor, damages venue property, etc..) The insurance must have a minimum cover of £10 million and be suitable for the type of event/ ceremony you are holding.

42 Acres is responsible for incidents related to the property itself, or if you or your guests are taking part in one of our experiences led by our staff. Any issues that arise outside of this are your responsibility and must be covered by your insurance.

  • Privacy Policy

We do not store credit card details nor do we share customer details with any third parties.

  • Data Protection

Personal information provided by guests is stored securely in the 42 Acres records system and will be used solely for the booking.   • Intellectual Property

All materials provided are the intellectual property of 42 Acres and may not be reproduced or distributed without our permission.

  • Acceptance of Terms

By paying the deposit you acknowledge that you have read, understood and agree to these Terms and Conditions.
